Executive Assistant to CEO & Founder

Position Summary
We are seeking an exceptional Executive Assistant to provide comprehensive support to our CEO and Founder, Tinsley Merrill Paul. This role requires a highly organized, detail-oriented professional who can efficiently manage both professional and personal needs while serving as a trusted partner in business operations. The ideal candidate will demonstrate discretion, proactivity, and excellent communication skills while representing the CEO and company values with professionalism.

Key Responsibilities
Executive Support

  • Manage the CEO's calendar, including scheduling meetings, appointments, travel arrangements, and ensuring appropriate preparation for all engagements
  • Handle correspondence, including emails, calls, and written communication
  • Prepare briefing materials for meetings, speaking engagements, and industry events
  • Coordinate domestic and international travel arrangements, including detailed itineraries

Administrative Management

  • Process expense reports and manage reimbursements
  • Maintain organized digital and physical filing systems
  • Coordinate team meetings, prepare agendas, and distribute relevant materials
  • Assist with preparation of presentations and reports using Keynote, Canva, and other design tools

Personal Assistance

  • Manage personal appointments, reservations, and household vendor coordination
  • Assist with personal correspondence and family scheduling
  • Coordinate personal travel arrangements and itineraries when needed
  • Handle miscellaneous personal tasks and errands as requested

Project Coordination

  • Support special projects related to HerStory's ethical marketplace initiatives
  • Track progress on key initiatives and follow up on outstanding items
  • Liaise with international brand partners when needed
  • Assist with event coordination for marketplace promotional activities

Relationship Management

  • Serve as primary point of contact for internal and external stakeholders
  • Build and maintain positive relationships with partners, vendors, and team members
  • Represent the CEO and company professionally in all communications
  • Coordinate philanthropic initiatives and partnership opportunities

Qualifications
Required Skills & Experience

  • Bachelor's degree or equivalent experience
  • Minimum 1-3 years of experience in an executive support role
  • Exceptional organizational skills with meticulous attention to detail
  • Strong written and verbal communication abilities
  • Proficiency with Microsoft Office Suite, Google Workspace, Keynote, and Canva
  • Demonstrated ability to handle confidential information with discretion
  • Experience prioritizing competing demands and managing multiple projects simultaneously

Preferred Qualifications

  • Experience in retail, e-commerce, or social enterprise sectors
  • Knowledge of ethical fashion or fair trade business practices
  • Understanding of influencer marketing and digital retail platforms
  • Experience supporting a founder or entrepreneur in a growth-stage business
  • Experience managing both professional and personal matters for executives
